Guidelines for Electronic Submissions
for the
2010 AECT International Conference
Anaheim, California - October 26-30, 2010

Please read these guidelines and 'Effective Proposals' before submitting your proposal.

  1. Make sure you have all the required information. Gathering this information before beginning the submission process will save you time and frustration, and help assure error-free processing of your proposal.

  2. NEW THIS YEAR. We will be using a different convention management service supplied by All Academic, Inc. Their program requires all presenters and co-presenters to have an account to submit a proposal or to be included as a copresenter within a proposal. If your membership with AECT was active after 1/1/2008 and before 12/14/2009 you (and potentially your co-presenters) already have an account. To login to All Academic, you will enter your membership number as the User Name and your last name as the Password.

  3. You will be able to add a co-presenter that is not already in the system. To do so, make sure you have an accurate email address for that presenter. Upon your submission, a message will be sent to the presenter added that provides their personal login information in case they plan to submit their own proposal or need to update their personal information.

  4. After the proposal has been accepted, AECT will notify the key presenter to confirm participation by pre-registering for the convention. Once the key presenter has registered, the session will be scheduled and AECT make the session time available on the web site. Each key presenter will be notified as to the date and time of their scheduled presentation and in turn notify each of their participants.

  5. All convention presenters must register for the convention. Presenters who have not pre-registered by September 1st, 2010 will not be included in the convention program . Acceptance of a proposal for presentation does not imply a waiver of convention registration fees, and each individual is responsible for his/her own registration fees.

  6. Multiple proposal submissions are allowed; however, no more than two session concurrent presentations with the same key presenter can be accepted for the conference. Proposal changes beyond what is allowed in the review process need to be approved by the Conference Planner.

  7. Presenters are expected to follow the AECT Code of Ethics found on the AECT web site (http://www.aect.org/intranet/publications/ethics/index.html).


Required Information for Proposal Submission

Style Guidelines:
Presenter's Name - the name is used with no "Ph.D." or other degrees included.
Presenter's Affiliation - no abbreviations may be used regarding universities and institutions.
Title - capitalize all words except articles
Acronyms - spell out the words and enclose the acronym in parentheses the first time the word(s) appear; the acronym can then be used in the rest of the article.

Title of proposal - This is the title that will appear on the AECT web site and within the printed Convention Program. Capitalize all words except the articles, and do not enter HTML tags. After the proposal rating process begins, 'Title' changes may be made only at the discretion of the Convention Chair.

Short Description - (75 words). This is the short summary that will appear on the AECT web site and within the printed Convention Program. Do not enter HTML tags.

This summary should clearly indicate the content and scope of the session , giving the reader a good idea of who would benefit from attending. Good descriptions lead to better decision making on the part of satisfied convention attendees as to which sessions to attend.

Abstract - Include a 750 -1000 word abstract for your proposal that provides a more detailed treatment of the session, what will be covered, who it is intended for, how it will be presented, etc. Upon submission you will able to review or edit your proposal. The display on the 'Review Proposal' page is very similar to page that the reviewers will use to read all the proposals. You may notice that formatting (new paragraghs, bulleted-list, line breaks etc..) of your text will be lost. If you wish to included some formatting, you may enter basic HTML tags (<p>,<br>,<ul>) upon editing your submission. Do not use HTML tags to change the font size or color.

Session length: Concurrent Sessions may be 30 or 60 minutes in length. Roundtables> are 60 minutes in length and offer interested small groups a setting for discussion with limited technology and are especially helpful for new convention presenters or those preferring a less formal setting. Poster Presentations offer a casual venue allowing conference attendees the opportunity to browse a number of displays and interact with selected researchers, developers and presenters. Workshops> should include hands-on activity and in-depth exploration of a topic, application, or technique and are usually a half day (3 hours) or a full day (up to 6 hours) in length.

Depending on the number of proposals received and accepted and the overall needs of the program, your session may be accepted for 30 minutes and bundled with another related 30-minute session. Or the committee may ask that the session be extended in length or offered twice during the convention. This information will be included in your acceptance notification.

Session type: Select the session type that best describes your proposal:

 

Session Types include:
Concurrent Session: These 30- or 60-minute sessions are primarily in presentation format and have comprised the majority of convention sessions in past years. The focus of these sessions is on sharing information such as best practices and research results. Proposals for 60-minute sessions may include more than one presentation (as in a symposium or panel discussion). In addition, two 30-minute concurrent presentations of related content may be bundled together to form one 60-minute session.
Roundtable Session: Roundtables are designed for small group discussion of specialized topics with the presenter leading the discussion. This participatory format allows for a highly interactive 60-minute presentation. Typically, several roundtable discussions are scheduled simultaneously in one large room, with minimal audiovisual use. Handouts containing key ideas and related information are strongly encouraged for roundtable sessions.
Reflection Paper Sessions: Reflection paper sessions are designed to showcase a project, program, process, activity, or the like in an informal setting, similar to former poster sessions. A small table is provided to support a display board, laptop, handouts, and the like. Presenters will directly interact with participants by providing an elaboration of the product (project, program, process, activity, etc.); feedback and insights of colleagues on these innovative developments are especially welcome.
Integrative Panel: Integrative panels are a new feature of the 2009 AECT convention and are designed to specifically support the convention theme of integration across disciplines, perspectives, contexts, technologies and processes (e.g., design, development, implementation, and evaluation). Integrative panels may be project- or issue-focused and should address a critical problem area of general interest to a significant portion of the AECT community. Integrative panels that are sponsored by more than one division or affiliate are especially encouraged; proposal abstracts should include identification of the divisions/affiliates which would be interested in the panel topic. For example, a project-focused panel on promoting school reform through innovative teacher use of specific technologies might involve a teacher, a library-media specialist, a principal, and an educational researcher; such a panel could be jointly sponsored by several divisions.
Present@Distance: The 2009 AECT convention will sponsor a limited number of sessions in which presentations can be made by persons participating from a distance. All of the Present@Distance sessions will be scheduled consecutively on Thursday, November 5. Presenters and participants who register for Present@Distance will be required to register at the one-day, remote participation fee. These sessions will require presenters and remote participants to have access to a broadband Internet connection and IP-based video-conferencing equipment that supports the H.323 protocol. Present@Distance sessions will be open to all convention attendees and will have a local session monitor in Louisville.
Workshops: Half- or full-day workshops provide intense professional development opportunities that result in participants’ acquiring new skills and in-depth knowledge. Workshops involve focused topics and methods targeted at specific interest groups. Workshops will only be accepted if there appears to be sufficient interest to attract at least 10 attendees. Workshops will be held in Louisville on Tuesday, Wednesday, and Saturday (November 3, 4, and 7).
Presidential Sessions: Presidential sessions are selected by the AECT President-Elect, Mike Spector. These limited sessions will be selected based on their strong alignment with the six convention sub-themes, their importance to the work and interests of the AECT membership, and their likelihood to draw participation from multiple constituencies within AECT. Presidential session proposals will be submitted directly to the President-Elect or recommended to the President-Elect by division/affiliate leaders; proposals should contain all of the elements expected in concurrent session proposals. Presidential sessions may be 60- or 90-minutes long.

Submitting a Proposal - You may submit your proposal to one primary division, council, or affiliate. Members of that group will review your proposal in a blind review process, i.e., names of individual proposers and their institutions will not be made available to the reviewers. Your Group Sponsor may recommended your proposal to another group and your proposal will receive a second review.

Equipment needs: If your proposal would require special equipment or facility needs, indicate these on the submission form. LCD projectors (to attach to and project from your laptop computer), easels and flipstands, and video equipment (VCRs and monitors) are among frequently needed presentation equipment.

Key presenter contact information - The person submitting this form is considered the key presenter for this proposal. In order for AECT to process this proposal efficiently, accurate contact information for the presenters is required. The key presenter will be the primary contact for matters concerning this proposal.

Copresenter contact information. AECT must be able to contact your co-presenters; in order for us to do so, provide the co-presenters' names, institutions, and e-mail addresses. Your co-presenters will receive confirmation by e-mail and must then indicate their acceptance by completing an on-line form. If they fail to do so, they will be dropped as co-presenters for your proposal.
